Completing these tasks will help your new hire feel welcome and confident coming into their first day.听

听Administrative tasks and technology needs听

  • Send the following information to SA IT as far in advance as possible:听听
    • Employee name, Department, Office location (Building & Room), Supervisor, Start date听
    • Any IT equipment your new hire will need. Standard equipment includes a laptop, docking monitor, standard monitor, keyboard, mouse and headset.听听听
    • Any special software applications or departmental applications your new hire will need in addition to Jira and Confluence (e.g., StarRez, TMA, etc.).听
    • If your new hire will need a departmental cell phone.听
    • Schedule set-up time with IT support if applicable.听 If you are supported by DDS, please let them know you have a new employee.听
  • Send building access to the Buff OneCard Office that your new hire will need added to their Buff OneCard.听听听
  • Arrange for workspace. The workspace should be clean, tidy and free of previous user鈥檚 clutter.听
  • Pick up a new employee welcome bag, which includes a meal card, from SA HR (C4C S380). Place the bag听on the employee's workspace prior to their first day as a fun welcome to the team!听Supervisors (or dept. representative) do not need to schedule a time to pick up the bag.
  • Create a training checklist for your new hire.听
  • Order a nametag and/or business cards if applicable.听
  • Order an office nameplate if applicable.听
  • Identify any access issues: language barriers/technology competencies (how to ensure new hires understand payroll processes, working spaces, access to MyCUInfo portal, SA Services information, etc.).听

  • Send an email to your department announcing the new hire鈥檚 arrival, so everyone is aware and ready to welcome the newest team member. Recent updates to the Colorado Pay for Equal Work Act require that you send this message within 30 days of your new hire鈥檚 start date (we recommend sending it earlier). The following information is required by the Act to be included in your communication (contact recruiting@colorado.edu if you have any questions about this requirement and the Equal Pay for Equal Act).听
    • The name of the person hired听听
    • The job title of the new hire听
    • For employees who are transferring or being promoted into their new role, their prior job title at the University of Colorado.听
    • A reference to our promotions and transfers webpage outlining how employees may express interest in transfer and promotional opportunities.听
  • Create an itinerary for the new hire鈥檚 first week(s).听
  • If your new hire is benefits eligible, schedule a time for QuickStart within their first two weeks. Zoom link: 听
    • QuickStart is offered most Mondays from 9-10:30 a.m. and covers tasks for new hires including I-9, direct deposit, enrolling in benefits, etc.听
  • Send a welcome email to your new hire. Items to include in your welcome email include:听
    • How to get to campus/where to park/where to arrive听
    • What to expect their first day/week听
    • Who will be meeting them in the office听
    • Start and end times during their first day/week听
    • Dress norms听
    • First week itinerary听
    • Best way to contact someone that first day听

Tip: Building community on hybrid/remote teams听

If your team has a hybrid schedule and not everyone is in the office on the same day, here are some tips to help build community with new staff.听听

  • Identify a go-to person for your new hire to be able to ask questions.听
  • Create connection to the team and technology training before their first day to create a welcoming and seamless transition.听
  • Ensure culture is explicitly explained, particularly in remote vs. in-person realms.听
