Resignation

Staff member’s checklist for resignation 

  • Determine your expected last day of work. 
    • University staff are at-will employees and can leave their position at any time. When possible, please provide at least two weeks' notice before your departure to allow the department to plan accordingly. 
    • Vacation time may be used for up to four weeks after the employee's last day of work. Ensure that you are requesting a last day that includes any vacation time you plan to use before departure.  
      • Please note that you will be paid 100% of remaining vacation balance up to your accrual maximum.  
  • Write a letter of resignation to notify your supervisor of your leaving. 
    • Include your expected last day of work.  
    • If you are transferring within the university system, include a statement in your letter to ensure proper payout and transfer of benefits. 
  • Work with your supervisor on how to communicate departure with your team. 
  • Turn in your PCard and/or travel card and add delegate in Concur. 
  • Ensure your home address is up to date in the CU portal. 
  • Remove personal items from your workspace. 
  • Complete the exit survey when you receive it from SA HR. 
    • You may request an individual meeting with SA HR if you wish before your departure.  
    • Please contact SA-HR@colorado.edu to request this meeting. 
  • On your last day or work, turn in university property (i.e., laptop, phone, uniform, etc.). 
  • Review with supervisor and turn in final evaluation.
  • Unused vacation time will be paid out up to maximum allotment available.
  • CU Benefits and cobra where applicable are given through end of month of last month of employment

Supervisor checklist for staff resignation 

  • Approve and send resignation letter to SA HR through . 
    • Acceptance of resignations is no longer needed for university staff. 
    • Classified staff will need an acceptance of resignation from supervisor. Supervisors can use this template.  
    • If the staff member is transferring in the university system, include that information as a comment in the Jira ticket. Notify SA IT of transferring employee to ensure OIT does not shut off employee access.
  • Determine how you will communicate with the rest of the department and campus partners that this staff member is leaving.  
    • Connect with your staff member to coordinate the timing on this announcement. 
    • Often, staff prefer to share this news first followed by a more formal announcement from their supervisor.  
  • Collect the staff member’s PCard and/or travel card, submit card cancellation request and add delegate for Concur. 
  • On the staff member’s last day of work: 
    • Complete departmental checkout procedures. 
    • Collect property (i.e., laptop, phone, uniform etc.). 
    • Email SA IT for IT equipment pickup. 
    • Have the Teams owner remove access from departmental Teams channels. 
    • Fill out timecard through last day of employment (vacation time included). 
  • Review, update and finalize employee yearly evaluation.  
  • Note: Check ownership of Office 365 and Google documents. Documents owned by departing employees may be deleted.
