Armory Vault Equipment Policies

Eligibility

You must currently be enrolled in a College of Media, Communication and Information courses or declared a student or connected to the college as a faculty, lecturer, or staff to access The Vault, creative spaces, and computer labs.

Each course has different gear requirements and therefore has access to specific items in Checkout. Check with your professor if you have questions on what cameras are available to your class. All CMCI students, staff, and faculty can always access the “general checkout” equipment at the Armory Vault.

All equipment is subject to availability, and it is encouraged to plan ahead and make reservations. For many classes, we have limited resources. Please keep this in mind with making reservations and when planning for your projects.

Vault Procedures

  • Checkouts can be completed by walk-up transactions or reserved online using the, using your IdentiKey. Reservations are highly encouraged.
  • If you have problems logging in to the Patron Portal, please contact theArmory Vaultfor assistance.
  • For a step-by-step guide on checking out equipment from The Vault, please visit this Completing a Checkout document.
  • If you plan to complete a walk-up checkout, please allow time to stand in line and for the checkout to pack your equipment.
  • If you miss your pick-up time, you will be bumped to the next available pick-up time.
  • You have only one hour before your reservation is canceled automatically. For example, if the pick-up time is 10:30, the system automatically cancels the reservation at 11:30. If you arrive at 11:31, you must set up a new reservation.
  • The standard checkout period is two business days.
  • Late fees can accrue from the scheduled return time until a return or renewal has been fully completed.

Renewing Equipment

  • requests to renew equipment at The Vault are accepted in person or emailed to theArmory Vault.

  • 鶹Ժ are limited toonerenewal per checkout before returning equipment. This is to ensure all students have the chance to use the gear to complete their assignments.

  • Renewal requests are conducted through email or in person only. No phone calls, please. Emails will only be read and responded to during business hours, which may vary. During the academic year, these hours are Monday - Thursday, 9:00 AM to 5:30 PM, and Fridays, 9:00 AM to 4:00 PM. We try to respond as soon as possible in the order that emails are received. Please plan accordingly should there be delays in our response time.

  • Renewals are not guaranteed. Do not try to renew close to your scheduled return time. Your items may be reserved for other students, and you will incur fines and penalties if you cannot return on time.

  • Renewals are not final until the renewal checkout agreement is signed and returned to the Vault checkout email address.

  • Sending a renewal request email does not guarantee renewal. If another student has reserved the gear you are trying to renew, we will not be able to accommodate your request, and the equipment must be returned at the originally scheduled time.

  • If you intend to complete a renewal in person at your originally scheduled return time, you must have all the equipment with you. If we cannot accommodate the renewal request because of another reservation, you must return the gear at its initially scheduled time. It is in your best interest and will save you a trip to bring the equipment with you.

  • You will be assessed late fees and penalties for failing to return items on time or complete the renewal paperwork before the equipment is late. If you request a renewal after the equipment is late, the fees accumulated until the signed paperwork is sent back to the checkout will be charged.

  • Podcast Booth usage and reservations
    • All Audio booths within CMCI are by reservation only and require a minimum of 24 hours before your desired reservation time.
    • At this time, you may only schedule reservations during equipment room business hours, Monday through Friday, 7:00 AM to 7:00 PM. Please email the Armory Vault for further information if you need to use the booth before these times. Please keep in mind that we may not be able to accommodate your request for access outside business hours.
    • Before completing a reservation, you must first complete the Checkout Agreement Policy Form.
    • Also, be sure to familiarize yourself with the Audio Booth Overview documentation.
    • Please use the to schedule your reservation.

  • Checking out CMCI-managed iPads,Laptops, or Creative Cloud Licenses.
    • All of these items can be checked out for a period of six business days
    • These items are not eligible for renewals
    • A person must wait six business days before reserving or checking out these items again.
    • If you need an Adobe CC license to use with a laptop or iPad, please let us know at the time of checkout.
    • All CC licenses will expire at the time the checkout return is scheduled.
    • Even if the checkout is late to be returned, the license will still expire

Guidelines and Procedures

  1. All gear is reserved for Media Production coursework only. You may not use the equipment for paid projects or internships. External organizations must provide you with production equipment if they are truly a production-qualifying internship.

  2. You must have a current registration form on file before proceeding. If you do not, you must complete the Checkout Agreement Policy Form.

  3. Allow time to inspect the equipment when checking out and returning items properly. Returns are only complete once all items are inspected and verified.

  4. Notify Checkout personnel and the equipment room manager promptly of damaged items. You are responsible for all damages, so inspect items thoroughly before signing the form and leaving Checkout. You will be held accountable for any damaged equipment you may find after you leave the building, even if you did not cause the damage. By signing and leaving, you take responsibility.

  5. Equipment privileges could be suspended if there is a history of late fines or evidence of neglect/misuse of the equipment. The suspension can range from two weeks to a full semester, depending on the situation.

  6. There are strict consequences associated with these rules. Deviating from them will result in academic and/or financial penalties.

Don't forget!

Examine all equipment carefully before signing.

If an item is missing from a package or if the equipment is damaged or malfunctions in any way, ask the checkout attendant to make a note of it in our system before you sign. When you sign the form, you are otherwise assuming complete responsibility for the equipment and are affirming it is in working order.

When returning, don’t leave Checkout before your equipment has been inspected and verified by checkout staff. This is considered a late return and you will be penalized accordingly.

Don't keep unused equipment sitting at home!

It prevents others from using it and increases the chance that damage or theft could occur while you’re responsible. It’s better to return it early.
